Terms & Conditions

Passports and Visas:

Travelers are responsible for obtaining and carrying all required travel documents, including valid passports, visas, permits, and any other documentation required for entry into, transit through, or departure from each destination. Travelers must verify current entry requirements with the appropriate embassy, consulate, or official visa service provider prior to departure.

Passports must generally be valid for at least six (6) months beyond the completion of travel, although requirements vary by destination. Some countries also require one or more completely blank passport pages for entry stamps or visas.

Additional documentation requirements may apply to minors (travelers under the age of 18), including additional authorization or consent documents. Travelers are responsible for confirming and obtaining any required documents for minors traveling with or without a parent or legal guardian.

Any passport and visa information provided by Prowess Travel is intended for U.S. passport holders only and is provided as a general guideline. Non-U.S. citizens, dual citizens, and travelers holding other travel documents must consult the appropriate embassy or consulate of each country to be visited to determine applicable entry, transit, and visa requirements.

Travel document requirements are subject to change at any time and are determined by government authorities. Prowess Travel is not responsible for denied entry, missed travel arrangements, additional expenses, or other consequences resulting from a traveler’s failure to obtain proper documentation.

Children:

All travelers under the age of 18 must be accompanied by an adult throughout the trip. The accompanying adult is solely responsible for the child’s safety, supervision, behavior, and compliance with all applicable laws, regulations, and tour requirements.

The accompanying adult is also responsible for providing any required safety equipment, such as infant or child car seats, and for selecting a tour itinerary that is appropriate for the child’s age, physical abilities, and individual needs.

Travelers should be aware that many escorted tours may include extended travel days, walking, large groups, crowded environments, early departures, varying noise levels, and other conditions that may not be suitable for all children. Parents or guardians should carefully consider the nature of the tour before making a reservation.

Many hotels do not permit minors under the age of 18 to occupy a room without an accompanying adult. In addition, some countries have implemented entry and exit procedures designed to help prevent international child abduction. Travelers may be required to provide additional documentation, including parental consent forms, birth certificates, or other supporting documents when traveling with minors. It is the traveler’s responsibility to verify and obtain all required documentation prior to departure.

Price:

All prices are quoted per person and are based on double (twin-share) occupancy, unless otherwise specified.

Prices do not include personal expenses such as laundry, alcoholic beverages, bottled water, other beverages, meals not specifically included in the itinerary, passport and visa fees, travel insurance, gratuities, or foreign departure and port taxes, unless expressly stated in the package inclusions.

All prices are accurate at the time of publication. However, because airfare is subject to change and airline fare classes have limited availability, tour package prices and availability are subject to change without notice.

In the event of a human, typographical, or computer error, Prowess Travel reserves the right to correct any pricing or service errors and to re-invoice clients for the correct amount. Should a price increase occur as a result of such correction, passengers who do not wish to accept the revised price may cancel their reservation and receive a full refund, provided that Prowess Travel receives written notice of cancellation within five (5) days of the price increase notification.


All prices are quoted in U.S. Dollars (USD) unless otherwise specified.

Tour prices are based on airfare, taxes, exchange rates, and other costs in effect at the time of publication. Prowess Travel reserves the right to adjust tour prices prior to final payment in the event of significant increases in airfare, fuel surcharges, government taxes, currency exchange rates, or other supplier-imposed costs beyond its control. Any such price adjustment will be communicated to passengers as soon as practicable.


Once full payment has been received, no additional price increases will be imposed except for increases resulting from government taxes, fees, or other charges beyond the control of Prowess Travel.

Payments:

Deposit: A deposit of $400 per person is required at the time of booking.

Final Payment: Full payment is due 90 days prior to departure, unless otherwise specified.

Late Payment: Any outstanding balance not received by the Final Payment Due Date shown on your invoice may result in the automatic cancellation of all travel services. Applicable cancellation penalties will apply.

Last-Minute Reservations: Reservations must be made no later than 6 days prior to departure. All reservations are subject to availability and supplier confirmation. If the requested travel services cannot be confirmed, all payments received will be refunded in full. Once services have been confirmed, the applicable cancellation penalties will apply.

Form of Payment: All payments must be made in U.S. Dollars (USD). We accept electronic checks (e-checks), personal checks, wire transfers, major credit cards, and debit cards. Payments made within 30 days of departure must be made by credit card or debit card. Third-party credit cards are not accepted.

Payments made by wire transfer are subject to an additional $25 wire transfer fee. A $35 fee will be charged for each returned paper check, and a $15 fee will be charged for each returned electronic check (e-check).

Refunds: Refunds will be credited to the original credit card(s) used for payment, up to the total amount charged to those card(s). Any remaining refund balance will be issued by U.S. Dollar check or ACH e-Check.

Cancellation:

All cancellations must be submitted in writing through the “Cancel Reservation” option located on the Contact Us page. Cancellation fees will be assessed based on the date the written cancellation request is received by Prowess Travel and according to the applicable cancellation schedule below.

Cancellation fees are calculated based on the total amount paid, including any previously assessed fees and any non-refundable ticketed airfare. Cancellation of pre- or post-tour hotel nights is subject to the applicable cancellation terms.

Cancellation fees will not be less than the initial non-refundable deposit. If a passenger traveling in a shared room or cabin cancels, the remaining traveler may be required to pay the applicable single supplement if the room or cabin occupancy changes from double occupancy to single occupancy.

Cancellation Fees for All Reservations (unless otherwise specified):

  • 90 days or more prior to departure: $200 per person cancellation fee
  • 89 to 61 days prior to departure: $800 per person cancellation fee
  • 60 to 31 days prior to departure: 50% of the total tour price
  • 30 to 7 days prior to departure: 90% of the total tour price
  • 6 day or less prior to departure, including no-shows: 100% of the total tour price

Special Events & Custom Products:
Cancellation penalties may vary for special events, customized itineraries, private groups, and other special products. Any applicable cancellation terms will be advised at the time of booking and stated on the passenger’s invoice.

Reservation Changes:

Land or Cruise Packages: Prior to the final payment due date, changes to the destination, departure date, or replacement of a traveling passenger are permitted and will be subject to a $100 per person amendment fee, plus any additional charges imposed by airlines, cruise lines, hotels, or other suppliers. Changes requested after the final payment due date will be treated as cancellations and are subject to the applicable cancellation penalties.

Optional Services: Changes to optional tours, excursions, or airport transfers may be requested up to 7 days prior to departure and will not be subject to the amendment fee. Any additional costs or supplier-imposed fees resulting from such changes will be the responsibility of the passenger.

Custom Groups: Amendment and change policies may vary for custom groups, private tours, and special products. Applicable terms will be provided at the time of booking and specified on the passenger’s invoice.

Travelers Requiring Special Assistance:

To help ensure a safe, comfortable, and enjoyable travel experience, we recommend that travelers select a tour that is appropriate for their physical abilities and mobility. Many escorted tours involve extended periods of walking, uneven terrain, stairs, and other physical activities that may not be suitable for all travelers.

Passengers requiring special assistance or accommodations, including those with mobility, visual, hearing, cognitive, or other disabilities, must notify Prowess Travel at the time of booking or as soon as such needs become known. We will make every reasonable effort to review the tour requirements with you and determine whether the requested accommodations can be reasonably provided. However, Prowess Travel cannot guarantee that all special requests or accommodations can be met.

Travelers who require personal assistance must be accompanied by a companion who is physically capable of providing the necessary support throughout the trip. Prowess Travel, including its tour managers, guides, drivers, and suppliers, is not able to provide personal care or one-on-one assistance, including but not limited to walking assistance, wheelchair assistance, lifting, or assistance with boarding or disembarking vehicles, cruise ships, trains, or aircraft.

For the safety and well-being of all participants, travelers must be able to follow the instructions of the Tour Manager and comply with all safety requirements throughout the tour.

Prowess Travel reserves the right to decline participation or remove a traveler from a tour if required information regarding special assistance needs was not provided prior to departure, or if, in the reasonable judgment of Prowess Travel or its suppliers, the traveler's condition or conduct may endanger their own safety, the safety of others, or materially affect the operation of the tour.

Any additional costs resulting from a traveler requiring special assistance, early departure from the tour, or removal from the tour, including transportation, accommodations, medical expenses, cancellation fees, or return travel arrangements, shall be the sole responsibility of the traveler. No refunds will be provided for any unused portion of the tour or services.

Hotel Accommodations:

Unless otherwise specified, accommodations are based on standard twin or double occupancy with private bathroom facilities. Bedding configurations (one king bed, one queen bed, or two twin beds) are assigned by each hotel and are subject to availability at the time of check-in. Room assignments are made solely at the discretion of the hotel on a run-of-house basis.

Special requests, including bed type, adjoining or connecting rooms, smoking preference, or room location, cannot be guaranteed and are subject to hotel availability at check-in.

Triple rooms typically consist of one double or two twin beds with an additional sofa bed, rollaway bed, folding bed, or cot for the third occupant. In the United States and Canada, triple rooms commonly consist of two double, or queen beds shared by three guests. Hotels may charge an additional fee for rollaway beds or cots where permitted.

Single rooms are often smaller than double or twin rooms and may be limited in availability. Room size is determined by the hotel and is not based on the number of occupants.

Many hotels do not permit guests under the age of 18 to occupy a room without an adult. Travelers are responsible for complying with the individual policies of each hotel.

Hotel rates are based on negotiated agreements between Prowess Travel and its suppliers and are confidential and non-negotiable.

Hotel check-in time is generally after 4:00 p.m., and check-out time is generally by 12:00 noon, although these times may vary by property. Travelers arriving on early morning flights or departing on late-night flights should plan accordingly, as immediate check-in or late check-out cannot be guaranteed. If a day-use room is included in the itinerary, the scheduled check-out time is typically 6:00 p.m., unless otherwise specified.

Prowess Travel reserves the right to substitute hotels with accommodations of comparable category and quality, when necessary, due to operational requirements or circumstances beyond its control. Such substitutions shall not constitute grounds for a refund or compensation.

Meals, Dietary Requests & Food Allergies:

Included meals are based on the restaurant's set menu, table d'hôte menu, or buffet and generally feature local or regional cuisine.

Vegetarian meal options are available in many destinations; however, vegan, gluten-free, dairy-free, and other specialized dietary requests may be limited or unavailable. While Prowess Travel will make every reasonable effort to forward dietary requests to its suppliers, restaurants, hotels, cruise lines, and airlines, we cannot guarantee that such requests will be accommodated.

Prowess Travel is unable to guarantee meals that comply with specific religious dietary requirements, including but not limited to Kosher or Halal, or meals prepared to meet specialized medical or personal dietary restrictions, such as low-sodium, low-carbohydrate, sugar-free, allergen-free, or other restrictive diets.

Passengers with food allergies or other dietary restrictions are responsible for discussing their needs directly with restaurant staff and suppliers whenever possible and for determining whether the food provided is suitable for their individual requirements.

Prowess Travel acts solely as an intermediary between travelers and its travel suppliers and assumes no liability for the availability, preparation, quality, ingredients, or suitability of any meals or for the inability of any supplier to accommodate dietary requests or food allergies.

Airport Transfers

Airport transfers are provided only when specifically included in the tour package or purchased in advance through Prowess Travel.

If you choose to arrive or depart on dates or flights other than those specified in the itinerary and have booked pre- or post-tour hotel accommodations through Prowess Travel, airport transfers may be available for an additional charge, subject to availability.

To allow for minor delays, your scheduled arrival transfer will be held for up to one (1) hour after your flight's scheduled arrival time. Prowess Travel and its transfer providers are not responsible for delays exceeding one (1) hour beyond the originally scheduled arrival time, regardless of the cause, including but not limited to flight delays, immigration or customs processing, baggage claim delays, or the reporting of lost or damaged luggage.

If your delay exceeds one (1) hour, you will be responsible for arranging your own transportation to the hotel or tour meeting point. Any additional transportation costs incurred will be at your own expense.

Airport transfer fees are non-refundable once the transfer service has been scheduled.

Sightseeing & Itinerary:

Escorted tours are operated using motor coaches, minibuses, vans, cruise vessels, trains, or other appropriate means of transportation, depending on the destination, itinerary, and number of participants. Tour group sizes may vary throughout the journey as travelers may join or leave the tour at different points according to their individual travel arrangements.

The sightseeing program, itinerary, and daily schedule are carefully planned; however, all times shown in the itinerary are approximate and are intended as guidelines only. Departure times, sightseeing schedules, and the sequence of visits may be adjusted due to weather, traffic, local conditions, operational requirements, safety considerations, supplier availability, or other circumstances beyond the control of Prowess Travel.

Some sightseeing days may begin early in the morning to maximize daylight hours, avoid heavy traffic, or accommodate local operating schedules. Travelers are responsible for arriving on time for all scheduled departures, flights, cruises, transfers, and tour activities. Failure to do so may be considered a no-show, and no refund will be provided for any missed or unused services.

The number of participants on any tour is not guaranteed. Regardless of group size, Prowess Travel is committed to providing the services and inclusions described in the tour itinerary.

Certain attractions, museums, monuments, religious sites, and other points of interest may be closed or have limited access due to religious observances, national holidays, special events, maintenance, renovations, weather conditions, government regulations, or other unforeseen circumstances. When necessary, Prowess Travel reserves the right to modify the sightseeing program, substitute attractions or hotels with comparable alternatives, or adjust the order of the itinerary without prior notice. Such changes shall not be considered grounds for a refund or compensation.

Historic sites and tourist attractions may occasionally undergo restoration or renovation, which may partially restrict access or affect visibility. These circumstances are beyond the control of Prowess Travel and will not be considered a basis for tour cancellation or refund.

From time to time, itineraries may include suggestions for optional sightseeing, dining, shopping, or leisure activities during your free time. These recommendations are provided solely for your convenience and do not constitute an endorsement, recommendation, or warranty by Prowess Travel. Participation in any optional activity is entirely at the traveler's own discretion and risk.

Coach & Seat Rotation:

Prowess Travel requires mandatory coach seat rotation on all escorted tours to ensure a fair and comfortable experience for all travelers. Seat rotation schedules and assignments are determined by the Tour Manager and must be followed by all passengers. Exceptions to the seat rotation policy are not permitted unless required for medical or accessibility reasons and approved in advance by Prowess Travel.

Solo travelers should expect to share seating arrangements with different fellow travelers throughout the tour.

Some motor coaches may be equipped with onboard restroom facilities; however, these facilities are intended for emergency use only and may not be available for regular use. For safety reasons, the vehicle may be required to stop before the restroom facility can be used.

Travelers requiring special assistance, mobility support, or other accommodations should refer to the “Travelers Requiring Special Assistance” section of these Terms & Conditions and notify Prowess Travel at the time of booking.

Optional Tours& Excursions:

A selection of optional tours and excursions may be available for purchase up to one (1) week prior to departure, subject to availability. Optional tours offered during escorted trips may also be purchased locally at the destination, provided space is available.

Certain optional tours require a minimum number of participants to operate. If the required minimum is not met, the tour may be cancelled. In such cases, any prepaid fees for the cancelled optional tour will be refunded.

Some optional tours and activities may be subject to age, height, weight, health, or physical ability requirements established by the local operator. In addition, some tours may be conducted in multiple languages depending on the composition of the group.

Prowess Travel acts solely as an intermediary for optional tours operated by independent local suppliers and is not responsible for changes, cancellations, or modifications made by those suppliers.

Non-Operation of Tours:

All escorted tours are operated subject to a minimum number of participants. Prowess Travel reserves the right to cancel, postpone, combine, or modify any tour or individual booking due to insufficient participation, operational requirements, supplier decisions, force majeure events, or other circumstances beyond its reasonable control.

Whenever possible, travelers will be notified of a tour cancellation at least 45 days prior to the scheduled departure date. In the event Prowess Travel cancels a tour before departure, all monies paid to Prowess Travel for the cancelled land package will be refunded. Such refund shall constitute the full extent of Prowess Travel's liability.

Prowess Travel is not responsible for any additional expenses incurred by travelers, including but not limited to airline ticket cancellation or change fees, visa fees, passport fees, travel insurance premiums, vaccinations, hotel accommodations, meals, transportation, or other incidental expenses purchased separately from Prowess Travel.

Voluntary cancellations by travelers due to political unrest, acts or threats of terrorism, government actions, public health events, travel advisories, or other circumstances shall be subject to the applicable cancellation policy, provided the tour is operating as scheduled.

River Cruise Operations:

River cruise itineraries are subject to change due to circumstances beyond the control of Prowess Travel or the cruise operator, including but not limited to high or low water levels, lock closures, mechanical issues, weather conditions, strikes, civil disturbances, government restrictions, acts of terrorism, epidemics, natural disasters, or other force majeure events.

When navigation is not possible, the cruise operator may substitute portions of the itinerary with motor coach transportation, hotel accommodations, an alternate vessel, or other comparable arrangements. Ship assignments, crew, cabin configuration, and itinerary may vary from those originally published.

Prowess Travel and its cruise partners will make every reasonable effort to provide comparable services; however, such operational changes shall not constitute grounds for cancellation, refund, or additional compensation.

Health Requirements:

Travelers are responsible for consulting their physician or other qualified healthcare provider regarding recommended or required vaccinations, medications, and other health precautions appropriate for their destinations. Travelers are also encouraged to review the latest health information and travel advisories published by the U.S. Centers for Disease Control and Prevention (CDC) and the World Health Organization (WHO) prior to departure.

Any vaccinations or health documentation required by the destination country or travel supplier are the sole responsibility of the traveler. Where applicable, travelers must carry valid vaccination certificates or other required medical documentation throughout the trip.

Many Prowess Travel tours involve extended walking, stairs, uneven terrain, varying climates, and other physically demanding activities. Travelers are responsible for ensuring that they are physically and medically fit to participate in the tour they have selected. Individuals with medical conditions, mobility limitations, pregnancy, or other health concerns should consult their healthcare provider before making a reservation.

If, before or during the tour, a traveler appears to have a contagious illness or medical condition that, in the reasonable judgment of Prowess Travel, the Tour Manager, local authorities, or a licensed medical professional, may pose a risk to the traveler or to others, the traveler may be required to seek medical evaluation and may be denied participation in part or all of the tour until medically cleared.

Any costs arising from medical treatment, hospitalization, quarantine, additional hotel accommodations, transportation, changes to travel arrangements, or other related expenses are the sole responsibility of the traveler.

Prowess Travel strongly recommends the purchase of comprehensive travel insurance that includes coverage for medical expenses, emergency evacuation, trip interruption, and trip cancellation. Any insurance claims are subject to the terms, conditions, limitations, and documentation requirements of the travel insurance provider.

Luggage (Escorted Tours):

Unless otherwise specified, each traveler is permitted one (1) suitcase and one (1) carry-on bag per person while traveling on Prowess Travel escorted tours. Additional luggage may be accepted only if space permits and will be subject to an additional $100 handling fee per piece.

Travelers are responsible for ensuring that all luggage complies with the size, weight, and baggage restrictions imposed by airlines, cruise lines, hotels, motor coaches, and other transportation providers. Any excess baggage fees charged by these suppliers are the sole responsibility of the traveler.

Prowess Travel is not responsible for the loss, theft, damage, or delay of luggage or personal belongings during the tour. Travelers should keep all valuables, medications, travel documents, money, electronics, jewelry, and other irreplaceable items in their carry-on baggage or on their person at all times.

Any loss, theft, or damage to luggage or personal belongings must be reported immediately to the appropriate airline, hotel, transportation provider, local authority, or other responsible party at the time the incident occurs. Travelers should obtain a written incident or property irregularity report to support any claim with their travel insurance provider.

Prowess Travel strongly recommends purchasing travel insurance that includes coverage for lost, stolen, delayed, or damaged baggage and personal belongings.

Weapons & Prohibited Items:

Weapons and dangerous items are strictly prohibited on all Prowess Travel tours. This includes, but is not limited to, firearms, ammunition, knives or other sharp objects intended as weapons, mace or pepper spray, explosive materials, and any other item prohibited by applicable laws, transportation providers, hotels, cruise lines, or local authorities.

Travelers are responsible for complying with all applicable laws and security regulations regarding prohibited items throughout their journey. Prowess Travel reserves the right to refuse participation or remove any traveler who is found in possession of prohibited weapons or items, without refund or compensation.

Smoking & Illegal Drugs:

Smoking of any kind is strictly prohibited on all transportation services exclusively provided by Prowess Travel. This includes, but is not limited to, cigarettes, cigars, e-cigarettes, vaping devices, electronic cigarettes, and any other smoking or vapor-producing devices.

The use, possession, purchase, distribution, or transportation of illegal drugs or controlled substances is strictly prohibited during any Prowess Travel tour. Travelers are responsible for complying with all applicable laws and regulations of the countries, states, and regions visited.

Prowess Travel reserves the right to remove any traveler who violates this policy or whose conduct, including the use of illegal substances, may negatively affect the safety, comfort, or enjoyment of other travelers. Any resulting costs, including transportation, accommodations, medical expenses, or changes to travel arrangements, will be the responsibility of the traveler. No refunds will be provided for unused portions of the tour.

Emergency Contact Information:

Travelers are encouraged to provide emergency contact information prior to departure. This information is collected solely for the purpose of contacting a designated family member, friend, or other emergency contact in the unlikely event of an emergency during the tour.

Travelers are responsible for ensuring that the emergency contact information provided is accurate, current, and that the designated contact person has agreed to be contacted if necessary.

Prowess Travel will handle emergency contact information in accordance with its privacy practices and will only use such information when reasonably necessary to assist with emergency situations or matters directly related to the traveler’s participation in the tour.

Passenger Agreement:

All travelers are required to complete and sign a Passenger Agreement prior to departure. By completing the Passenger Agreement, travelers acknowledge that they have read, understood, and agreed to be bound by the Prowess Travel Terms & Conditions, including the Release of Liability, Assumption of Risk, and Binding Arbitration Agreement.

For reservations made online, the Passenger Agreement must be completed electronically at the time of booking. Reservations may not be considered confirmed until the required agreement has been completed and accepted.

By accepting the Passenger Agreement, travelers confirm that they understand the nature of the tour, acknowledge the associated risks, and agree to comply with all applicable Prowess Travel policies and requirements.
